ℹ️ Introduction

eAbsence helps companies track the absence of employees from work. Whether someone is sick or had an accident, all information is stored in one simple system. Users can see and manage each case, who is absent right now, look up past absences, and handle any updates or next steps - all in one place.

🎯 Project goal

“Update the look and feel of the legacy product and made it simpler to use. Our main goal was to help users handle employee absences more quickly and easily in their day-to-day work.”

🔎 User research/feedback

We talked to HR managers and employees who use the system to manage each case of absence.

They showed us how they work and enlighten us about their main problems: the system was hard to navigate and took too long to enter data. They wanted better ways to manage documents, track cases, and handle messages, as well as a powerful search function and click-efficiency.

💡 Findings

We analyzed user feedback to identify key priorities for improvement: major needs included powerful search functionality, essential filtering by status and company, document drag & drop capabilities, case editing features, better task visibility in messages, and accident case creation.

Minor improvements focused on removing unnecessary illness reason fields, auto-selecting companies when only one is available, and enabling personalized filter saving. This analysis guided our development of a robust initial product version.

🔬 Customer journeys, user flows, first sketches

We used our research findings to create maps showing how customers use the product from start to finish. This helped us design simpler ways for users to complete their tasks. We then made rough sketches and test versions of the interface, which we improved based on feedback from our users.

✨ High-fidelity designs and prototyping

We created final designs and clickable prototypes that show how users will actually use the product. We made sure these designs included our new visual style, better ways to interact with the system, and simpler ways to get work done. We improved everything based on feedback from users and testing sessions.

💥Impact and next steps 🔭

Our biggest customers are now using and loving the new system, saying it's much easier and faster to use. We're keeping track of how people use it and listening to their suggestions as we plan to add more features and make it work for different types of users.
